Terms and Conditions

1. Scope of Application

These General Terms and Conditions (GTC) apply to all contracts concluded between:

(hereinafter referred to as “Provider”)

and the customer for chauffeur, limousine, and airport transfer services.

By booking a service, the customer agrees to these Terms and Conditions.

2. Services

Black Van Cologne provides professional chauffeur and transportation services, including:

  • Airport transfers

  • Business and corporate travel

  • Hourly chauffeur services

  • Long-distance transfers

  • Event and private transportation

The exact scope of services is determined by the booking confirmation.

3. Booking and Contract Conclusion

Bookings can be made via:

  • Website booking form

  • Email

  • Telephone

A contract is concluded once the Provider confirms the booking in writing (email confirmation) or verbally.

The customer is responsible for providing accurate booking details (pickup address, time, flight number, number of passengers, luggage details).

4. Prices and Payment

All prices are agreed individually or according to the offered rate at the time of booking.

Unless otherwise agreed:

  • Payment may be made in cash, bank transfer, or other agreed methods.

  • Payment is due immediately after completion of the service unless otherwise agreed in writing.

For corporate clients, invoicing may be arranged upon agreement.

5. Cancellation Policy

a) Airport Transfers & Standard Transfers

  • Free cancellation up to 24 hours before the scheduled pickup time.

  • Cancellations less than 24 hours before pickup may be charged up to 100% of the agreed price.

b) Hourly Bookings & Special Events

  • Free cancellation up to 48 hours before service start.

  • Later cancellations may be charged in full.

Cancellations must be made in writing (email or message confirmation).

6. Waiting Time

For airport pickups:

  • Up to 60 minutes free waiting time after actual landing time (if flight details are provided).

  • After this period, waiting time may be charged at the agreed hourly rate.

For other pickups:

  • Up to 15 minutes free waiting time.

  • Additional waiting time may be charged.

7. Customer Obligations

The customer must:

  • Provide correct and complete booking information.

  • Arrive at the agreed pickup location on time.

  • Treat the vehicle and driver respectfully.

Smoking, excessive alcohol consumption, and illegal activities inside the vehicle are strictly prohibited.

The customer is liable for any damage caused to the vehicle due to intentional or negligent behavior.

8. Liability

The Provider is liable for damages only in cases of:

  • Intentional misconduct

  • Gross negligence

Liability for slight negligence is excluded unless it concerns the breach of essential contractual obligations (cardinal duties).

The Provider is not liable for delays caused by:

  • Traffic congestion

  • Accidents

  • Road closures

  • Weather conditions

  • Force majeure events

9. Luggage

Standard luggage is included in the agreed price within vehicle capacity limits.

The customer must inform the Provider in advance about:

  • Excess luggage

  • Bulky items

  • Special transport needs

The Provider reserves the right to refuse transport if safety regulations are violated.

10. Force Majeure

In cases of force majeure (e.g., natural disasters, strikes, official orders), the Provider is released from performance obligations for the duration of the disruption.

11. Data Protection

Personal data is processed in accordance with our Privacy Policy and the applicable data protection laws (GDPR).

12. Place of Jurisdiction and Applicable Law

German law shall apply exclusively.

The place of jurisdiction, if legally permissible, is Cologne, Germany.

13. Severability Clause

If any provision of these Terms and Conditions is or becomes invalid, the validity of the remaining provisions shall remain unaffected.
